Supplier credit ledger for Shopify
Know exactly what suppliers still owe you.
A disciplined credit ledger inside Shopify Admin: record what was expected, log what arrived, and keep the remaining balance and claim context visible until the case is closed.
Expected credit is not received credit. Recoup keeps the difference accountable.
The credit gap
Supplier credits should close like bills—not disappear like emails.
The stock issue may already be handled. The remaining job is financial follow-through: what the store was owed, what actually arrived, and what is still outstanding.
Promises become unclear
Expected credit and received credit get mixed together, making the open balance difficult to trust.
Partial credit gets lost
One short credit can make a case appear resolved even when the supplier still owes more.
Old claims stop surfacing
Without consistent aging, long-outstanding balances have no natural place to demand attention.
The ledger logic
Three amounts. One unbroken record.
The explicit credit amount the store has a reason to claim.
The credit amount that has actually been recorded against the case.
The balance that still requires attention before the case is resolved.
Illustrative values only. Recoup keeps the claim amount explicit instead of substituting a current Shopify unit cost.
One case, clear follow-through
A supplier credit is a process—not a note to remember.
-
01
Open the credit case
Add the supplier, reason, RMA or RA, PO or invoice, dates, notes, one item and the expected amount.
-
02
Keep the position clear
Move the case through its manually maintained status while the amount and supporting context stay together.
-
03
Append each credit received
Record every partial credit as a dated event. The original expected amount and remaining balance stay intact.
-
04
Close with evidence
Use the browser-print case view or per-case CSV when the record needs to move into the next conversation.
- Draft
- Sent
- Acknowledged
- Partially credited
- Credited
- Disputed or written off
Evidence, not a scavenger hunt
Every open credit should be easy to prove.
Recoup brings the supplier, reason, RMA or RA, PO or invoice reference, notes, amounts, case status, and dated credit events into one concise record.
Print it. Export it. Take a clear record into the next follow-up.

A deliberately narrow pilot
The job is to show what is owed. Nothing more to explain away.
Recoup is not inventory history, damage reporting, forecasting, purchasing, a generic RMA system, automatic recovery, supplier messaging or an accounting suite. It is the credit-first ledger that stays open until the supplier obligation is resolved.

Recoup pilot FAQ
These answers describe the working pilot as it exists today—not a future roadmap.
What is Recoup?
Recoup is an early embedded Shopify Admin pilot for recording money a supplier owes after damaged, defective, wrong, short-shipped or returned stock. It keeps expected, received and remaining amounts, age and case context together.
Does Recoup change Shopify inventory?
No. The current pilot is ledger-only. A merchant creates each financial case deliberately, and Recoup does not adjust inventory or automatically create claims from inventory activity.
Can one case record more than one credit?
Yes. Each received amount can be recorded as a separate dated event with its own reference and notes. Recoup then shows the total received and the balance still remaining.
What can a Recoup case keep and export?
A case can keep supplier details, reason, RMA or RA, PO and invoice references, dates, one selected item, amounts, freight or fees, notes, statuses and credit events. The pilot provides browser print and per-case CSV paths.
What does early pilot mean?
It means the core workflow is implemented while the product is still being tested against real supplier-credit cases. Public App Store availability, billing, merchant results and validated pricing are not being claimed.
